Phase 5: Signature Workflow & Execution of Agreement

Phase 5 is focused on finalizing the partnership agreement by sending the agreement through the Contraxx signature workflow, which is primarily handled by the GP&E team. Once the agreement has been sent through the workflow and the final executed agreement is ready, the PA can begin the implementation of the agreement.

  • At this point, it is important to review the contract to determine the signature workflow. The individuals who need to view the agreement and approve it will vary based on the type of document that is being submitted for approval (guidance will be provided by GP&E).
  • All agreements will need to be signed by the PA’s Dean, the Vice Chancellor for Global Affairs, and when needed the Vice Chancellor of OSP or the AVC of Health Sciences. There may be times when the Chancellor and the Provost’s signatures are required if the contract is atypical or if the partner institution requires their signatures.
  • Once the signature workflow is determined, the agreement can be routed through DocuSign for signatures, or the agreement can be sent through the Wet Signature process if this is required by the partner. Pitt Global will facilitate this process.

 

Note: All requests must originate through the Pitt Global office. PA’s and their teams cannot submit an agreement for signature approval directly to any of the individuals listed above on their own accord.

  • The agreement is uploaded into the contract management software.
  • The Director of Global Partnerships will notify the requester (the PA), the department chair, and dean/director that the contract was fully executed and send a copy of the signed agreement highlighting the contract dates and any unique points in the contract.
  • An email will be sent to the partner containing a copy of the signed agreement.
  • GP&E conducts a final review of all information in the contract management system and updates any inaccuracies.
  • GP&E closes out the request.
  • PA & GP&E Team discuss steps to implement the agreement based on the agreement type and the specific negotiations determined between Pitt and the partner in the previous phases.
  • PA may also meet with the Pitt GEO Office, the Office of Economic Partnerships, the Innovation Institute along with any other relevant offices to discuss implementing the agreement and initial steps.
  • PA begins initial steps to start implementing and executing the agreement (i.e., recruiting students, establishing budget lines, aligning curricula, setting up new courses, applying for new research/grants, etc.).
  • PA begins meeting with key individuals in school/department and at the University level to start implementing the agreement.
